OCBC Cycle 2023 – Guidelines for Event Volunteers

General
- OCBC Cycle 2023 (the “Event”) is owned by Oversea-Chinese Banking Corporation Limited (the “Event Owner”), and organised by PICH Event Management Pte Ltd (“the Event Organiser”) in accordance with these rules and regulations, applicable to Volunteers, which can be found at www.ocbccycle.com (“the Official Website”).
- By submitting the application to Volunteer in the Event, the person named in the online form (“the Volunteer”) confirms his/ her agreement and acceptance to abide by these guidelines.
- By submitting the application, the Volunteer also acknowledges that the Event Owner does not assume any operational role in connection with the organisation of the Event.
- By submitting the application, the Volunteer also gives the Event Owner, the Event Organiser and their relevant business partners and agents permission to collect, use, disclose and process the Volunteer’s personal data (i) for purposes reasonably required for the organising and conducting of the Event; (ii) to contact the Volunteer to promote and market the Event and future events OCBC Group and its authorised service providers; (iii) for the purposes contemplated in these Regulations, and (iv) to promote and market the Event and future events organised or held by the Event Owner and/or Event Organiser; (v) other reasonable purposes as set out in the OCBC Data Protection Policy, which is accessible at: https://www.ocbc.com/personal-banking/policies which the Volunteer is deemed to have read and understood through his/her submission of the application.
- An Acceptance email will be sent to the Volunteer after his registration as a Volunteer has been confirmed.
- The Event Owner and the Event Organiser reserve the right to use any photographs, videos, motion pictures, images, recordings, or any other recording of the Event and its Volunteers for any commercial advertising and other promotional purposes linked to the Event or future cycling-related events organised or held by the Event Owner and Event Organiser (“Promotional Purposes”), subject to compliance with the Personal Data Protection Act 2012. By submitting the application, the Volunteer gives his/her consent to the Event Owner and Event Organiser to collect, use and disclose his/her personal data in photographs, videos, motion pictures, images, recordings, or any other recording of the Event for the Promotional Purposes. The Volunteer has the right to withdraw his/her consent at any time upon giving reasonable notice.
- The Volunteer agrees to: (i) provide true, accurate, current and complete information about himself/ herself in the registration form (“the Registration Data”) and (ii) maintain and promptly update the Registration Data to ensure that it remains true, accurate, current and complete. The Event Owner and/ or the Event Organiser may contact the Volunteer from time to time by email and/ or SMS in connection with the Event.
- If there is ambiguity in any of these provisions, the Event Organiser shall be the sole authority to interpret them – and in so doing, they may (but is not obliged to) take into account the interests of all affected Volunteers. Volunteers will be notified of any amendments to these Regulations on the Official Website, and their continued participation in the Event shall be deemed as the Volunteers’ acceptance and agreement to the revised Regulations.
- The Event Owner and Event Organiser reserve the right to modify any of these guidelines from time to time as they deem fit. If there is ambiguity in any of these provisions, the Event Organiser and the Event Owner shall be the sole authority to interpret them and in so doing, they may (but is not obliged to) take into account the interests of all affected Volunteers. Volunteers will be notified of any amendments to these guidelines via the Official Website.
- The Volunteer acknowledges that the Event Owner does not assume any operational role in connection with the organisation of the Event. As such, the Volunteer agrees that the Event Owner shall not be held liable for any loss, damage, personal injury or death in connection with the Event.
- To the greatest extent permitted by the law, the Event Organiser shall not be held liable for any loss, damage, personal injury or death in connection with the Event.
- The Event Organiser reserve the right to cancel the Event or any component of it at any time without prior notice to the Volunteers. Every effort will be made to inform Volunteers of changes prior to the date of the Event. If the Event or any component of it is cancelled, the Event Organiser and Event Owner shall not be liable for any consequential loss or inconvenience.
REGISTRATION
- Volunteers are required to be at least 16 years of age as at 4 May 2023.
- If you are a Volunteer below 21 years of age, you are required to obtain consent from your parent or legal guardian to Volunteer at the Event.
- Volunteers can register for positions in these areas:
a) Start Point
b) Finish Point
c) Courtesy Crew
d) Bike Park
e) Route Marshal
f) Speedway Championships
g) Volunteer Welfare
h) Aid Station
i) Event Pack Collection Helper
j) Event Pack Logistics Helper
k) Info/Helpdesk
l) VIP Hospitality - Only Volunteers aged 18 years and above as at 7 May 2023 will be shortlisted as Volunteer Leaders. Shortlisted Volunteer Leaders will be required to attend a face-to-face interview session before they are confirmed.
CONDUCT
- Volunteers are required to adhere to the Volunteer’s code of conduct and behave in an appropriate and respectable way when on duty so as to ensure there is a mutual understanding and respect towards fellow Volunteers, Event Organiser, Event Owner and the participants. This includes:
a) Act with integrity and uphold the reputation of the Event;
b) Provide a high standard of customer service at all times;
c) Be punctual at all times for their assigned duties by the Event Organiser;
d) Adhering to the dress code;
e) Not removing or making copies of any Event-related documents without the prior consent of the Event Organiser; and
f) Referring members of the media to the Event Organiser if they are approached. - Volunteers may be dismissed if they are found to have violated the code of conduct and these guidelines.
- The Event Organiser may reject future applications from Volunteers who have been dismissed.
- In the event that the Volunteer is unable to turn up for his/ her duty, he/ she should inform the Event Organiser or assigned Volunteer Leader at the earliest possible time.
DRESS CODE
- Volunteers are to wear covered shoes at all times during their duties for safety reasons.
- Volunteers are to wear the Volunteer T-shirt given by the Event Organiser throughout their duties.
SAFE MANAGEMENT MEASURES
- Volunteers will need to be fully vaccinated.
- Reporting time may be staggered to minimise the crowding at the reporting location. Please adhere to the allocated timing and arrive on time.
ENTITLEMENT
- Volunteers are entitled to a Limited Edition OCBC Cycle 2023 Volunteer T-shirt, Limited Edition OCBC Cycle 2023 Drawstring Bag, an Electronic Certificate of Appreciation, Community Involvement Program (CIP) hours (if applicable), transport allowance of S$20 (the “Transport Allowance”), and Meals and Refreshments.
- Volunteer T-shirts will be distributed on the day of duty before the start of shift.
- Volunteer T-shirt sizes are subjected to availability based on first come first served.
- An e-Certificate which will be available for download by the Volunteer within seven days of participation. The e-Certificate will no longer be available for download on 17 May 2023 and neither the Event Owner nor Event Organiser is obliged to provide Volunteer with their e-Certificates thereafter even if the Volunteer have not downloaded a copy of their e-Certificates by that date.
- Transport allowance will be distributed at the end of the shift. If Volunteers do not complete their assigned shift, they will not be entitled to Transport Allowance. If there are valid reasons for non-completion of a shift, Transport Allowance may still be given out at the sole and absolute discretion of the Event Organiser.
- In the event of cancellation of Event, only Volunteers who have been deployed to prepare for the Event prior to the date of cancellation (the “Affected Volunteers”) will be entitled to receive the Transport Allowance. For the avoidance of doubt, Affected Volunteers will only be entitled to receive a maximum of one Transport Allowance and will not be entitled to seek reimbursement for any other costs or expenses in connection with or arising out of cancellation of the Event from the Event Organiser and/or Event Owner
